Quotes

Quotes do not guarantee equipment availability. We can only guarantee equipment will be avaialble for your party/event upon a reservation.


Reservations

In order to reserve equipment you must be 18 years of age or older and have a valid Drivers license or State issued ID on file with Total Tent Rental.

All reservations require a signed Rental Agreement and a NON REFUNDABLE reservation fee equal to 50% of the total quote/invoice.


Delivery / Setup

All deliveries and on-site setups will incur a fee (which will be included in your quote).

Delivery / Setup Fees are generally $.90/mile from our warehouse location in Decatur, GA. We calculate the mileage as the total miles traveled to/from our warehouse to/from your venue.

(For example, if your venue is 10 miles from our warehouse, the total mileage will be calculated as 40... 2 round trips from our warehouse to your venue)

Customers are welcome to pick up and return equipment from our warehouse to save the Delivery/Setup fee. Keep in mind that an adequate truck/trailer/transport vehicle is REQUIRED to transport any rented equipment. Any damage to the equipment during transport will be the responsibility of the customer, up-to and including the full replacement cost of the equipment.

All tents rentals will require the Delivery/Setup fee, and cannot be picked by customers (except for Pop-up Tents).

Total Tent Rental will schedule a delivery/setup window with the client in advance of the event date. Generally, Total Tent Rental will deliver/setup tents and equipment 1 or 2 days prior to the scheduled event date. The client (or an appointed representative) must be present during the delivery/setup time window to confirm the desired setup location of the equipment.


Removal

Total Tent Rental will schedule an equipment removal time window with the client in advance of the event date. Generally, Total Tent Rental will remove equipment the day following the scheduled event date. The client (or an appointed representative) must be present during the equipment removal window to ensure that all rented equipment is accounted for and in good condition.


Event Location

It is the customer's responsibility to ensure that the event location is reachable by our delivery vehicles. All deliveries will be made to ground-floor locations only. The client must either own or have permission from the owner of the property to place any rented equipment. All tent installation locations must be prepared prior to the arrival of the delivery/setup crew. Installation location must clear and free of:

  • Above Ground/Below Ground Utilities
  • Underground Sprinkler Systems
  • Septic Tanks
  • Furniture
  • Tree Roots
  • Debris
  • Animals/Animal litter
  • Any other obstructions that may prevent the installation of the equipment
If the delivery location is obstructed, excessively difficult to reach or inaccessible, Total Tent Rental may assess an additional Delivery/Setup fee.
Some installations/setups may require the use of heavy equipment/trucks/forklifts, and could damage grass, dirt, sod, grounds, etc.

Cancellations / Reschedules

Clients may cancel their event rental in writing at least 10 days prior to their scheduled event. Any Reservation Fees paid are NON-REFUNDABLE. If the client's cancellation is received at least 10 days prior to the date of their event, Total Tent Rental will refund any payments made by the client (excluding the Reservation Fee).

If the client cancels their event rental within 10 days of their scheduled event, Total Tent Rental will retain all payments made by the client.

Should the client need to reschedule their event due to an emergency, they may do so in writing at least 10 days prior to the scheduled event date. Total Tent Rental will make every effort to accomodate the client's new desired event date (at their discretion). If the client's new event date is available, Total Tent Rental will transfer the client's reservation to the new date without any additional fees. If the client's new event date is not available, Total Tent Rental will retain all payments made by the client.


Tents

All tents must be installed/setup by Total Tent Rental crew members (with the exception of Pop-up tents). Tents must be staked to the ground in ALL SITUATIONS, therefore the setup locations are limited to grass/dirt surfaces only. Tents cannot be setup on concrete, asphalt, or any other hard surface. If you are unsure if your location is suitable for a tent, please contact us for a site visit (a service fee may apply).

Customers must not alter, move or modify any tent in any way, under any circumstance. Any damage to the tent incurred by altering, moving or modifying will be the responsibility of the customer, including and up-to the full replacement cost of the device.

The client must clearly mark the desired location of their tent setup prior to the crew arrival. Once a tent has been setup/installed, it cannot be moved by the installation crew. If the client requests the tent to be moved after installation, the client will be responsible for any additional fees associated with moving the tent.


Tables/Chairs/Misc.

All tables, chairs and other rental equipment will be delivered on a rolling cart or platform. Total Tent Rental crew members will not position or arrange tables or chairs. The client must arrange the tables and chairs to their desired location.

All tables and chairs must be returned to the same location as they were delivered. Tables and chairs should be folded and stacked in the same manor that they were delivered in. If the client requests the tables and chairs to be moved after delivery, the client will be responsible for any additional fees associated with moving the tables and chairs.
