Choosing the Right Tent Size for Your Event: A Guide

Planning an outdoor event, whether it’s a wedding, birthday party, or corporate gathering, requires careful consideration of many details, including the size of the tent. The right tent ensures that your guests are comfortable and that your event goes smoothly, regardless of the weather. Here’s a guide to help you select the perfect tent size based on the number of guests you’re expecting.

Understanding Tent Sizing

Event tents come in a variety of sizes, typically measured in square feet. To determine the size you need, consider the type of event, the number of guests, and the layout you desire. Here are some key factors to keep in mind:

  1. Type of Event: The nature of your event will influence the space needed. For instance, a formal seated dinner will require more space per person than a casual cocktail party.
  2. Number of Guests: This is the primary factor in determining tent size. More guests require more space.
  3. Additional Space Requirements: Consider space for food service areas, bars, dance floors, stages, trash cans, coolers and other amenities.

General Guidelines for Tent Sizes

Here are some general guidelines to help you estimate the tent size you’ll need based on the number of guests and the type of event:

  1. Standing/Cocktail Party:

    • 10 x 10 feet tent: Up to 20 guests
    • 20 x 20 feet tent: Up to 50 guests
    • 30 x 30 feet tent: Up to 100 guests

  2. Seated Dinner (with round tables):

    • 20 x 20 feet tent: Up to 40 guests
    • 30 x 30 feet tent: Up to 90 guests
    • 40 x 40 feet tent: Up to 160 guests

  3. Theater-Style Seating:

    • 20 x 20 feet tent: Up to 66 guests
    • 30 x 30 feet tent: Up to 150 guests
    • 40 x 40 feet tent: Up to 266 guests

Additional Considerations

  1. Dance Floor: If you’re planning on having a dance floor, allocate about 2 - 4 square feet per guest who will be dancing
  2. Buffet/Serving Area: Allocate additional space for food service. A buffet table typically requires about 100 - 200 square feet.
  3. Stage/Band Area: If you plan on having live music or a DJ, be prepared to need extra space. (And please invite us along. We love live music!)
  4. Weather: If rain is possible, ensure there’s enough space for guests to stay dry under the tent canopy.

Final Tips:

  1. If you’re unsure how many guests will be at your event, we recommend selecting a tent that is at least one size larger than you think you might need. It’s always safer to have more tent than you need than less tent :(

  2. Consider layout and flow. Plan ahead and be sure to position your tents/tables/chairs etc. in a layout that ensures your guests can easily move about the space without bumping into equipment/each other.
